How to choose an e-invoicing provider. Eight questions.
Dozens of providers are on the UAE list, and their proposals are hard to compare. Put the same eight questions to each one, in writing. We answer them here for ourselves, so you can hold us to it.
1. Who owns the Access Point your platform runs on?
Many providers resell a foreign platform. That matters when something breaks at quarter-end and the people who can fix it are in another country. Fatorly: we built and run our own Peppol Certified Access Point, in the UAE.
2. What happens to the invoices I receive? Show me in the product.
The mandate covers receiving as well as sending. A good answer is a live demonstration, not a slide. Fatorly: supplier invoices arrive matched to the vendor and ready to post in your accounting system.
3. Is my ERP integration priced in writing, with yearly upkeep?
Integration is where low headline prices turn into large invoices. Ask for a fixed number and the yearly maintenance before you sign. Fatorly: a fixed written price, paid once per ERP, however many companies run inside it.
4. What exactly counts against my document allowance?
Providers count differently, and some count the same document twice. Fatorly: every document you send or receive counts once, and we never stop your invoices when you reach the limit.
5. Are Arabic, archiving and a service level included, or sold as extras?
Read the proposal line by line. In some, Arabic is an add-on in an Arabic-speaking country. Fatorly: all three are included on every paid plan, and the service level is in the contract.
6. We are a group. How do you price the second and third company?
Each tax registration number needs its own registration, so some providers charge every company in full, including the integration. Fatorly: every company after the first comes at a reduced rate, documents and users are shared, and the integration is paid once.
7. Who pays when the rules change?
The rules will change after launch, as they did in Saudi Arabia. Ask whether updates are included or billed as new work. Fatorly: rule changes are covered by the yearly maintenance.
8. What have you actually run in production?
Ask for volumes, years and names. Fatorly: ZATCA e-invoicing in Saudi Arabia since 2022, more than 6 million invoices synced, certified to ISO/IEC 27001, ISO 22301 and ISO 9001.
